Privacy policy

This policy describes what information I collect about you, how I use it and how I protect it. This policy can be regarded as my statement of compliance with the General Data Protection Regulations (GDPR).

By contacting me via email or the website contact form here, you provide consent for me to collect, store and use your data in line with this policy.


How data is collected

Data can be collected via the website contact form and email (hosted by Easyspace; privacy policy here).

This website uses the WordPress content management system (privacy policy here).

Don’t worry: I won’t sell or pass on your information to third parties unless you really want me to and say so in writing.


What data is collected

In order to provide a service or even just a quote, I collect some or all of the following information about you:

  • Name
  • Job title
  • Email address
  • Telephone number (if provided)
  • Postal address for invoicing
  • Details of the project
  • Project files (e.g. manuscript in Word or PDF format, style sheet, project brief)

I don’t actively collect or store ‘sensitive’ personal data, such as ethnic origin or religious beliefs.


Use of data

I collect your personal data so that I can provide you with a service/quote and also for tax purposes to ensure that I comply with HMRC requirements.

Data, in the form of cookies, is also collected to enable certain functions on this website and to better understand how visitors use the website.

Your data will only ever be used for marketing purposes (e.g. testimonials) with your written permission.

Don’t worry: I won’t use your data to spam you. I don’t do mailing lists.


Data storage and security

The information I collect is stored on the following systems:

  • Easyspace webmail, Microsoft Mail (privacy policy here) and Gmail (privacy policy here).
  • Password-protected computer.
  • Password-protected mobile phone for access to emails.
  • Password-protected external hard drive for backup.
  • Microsoft OneDrive for backup. Please note that project files are NOT stored here, although your contact details are.
  • From time to time, cloud systems such as Dropbox or WeTransfer might be used to transfer project files with your prior agreement.

All personal data will be wiped from any hardware device before it is eventually disposed of.


Data retention

I will retain your personal information for at least 5 years, as required by HMRC. Project files may also be kept for up to 5 years but in most cases, they will be deleted much sooner.

Please ask if you want me to delete your records. As long as I’m complying with HMRC’s legal requirements, and all contracted work has been completed and paid for, I’ll action your request as soon as possible.


Responding to data breaches

If I become aware of a possible data breach, I will investigate it as soon as possible. If I find that a breach has occurred, I will report it to the Information Commissioner’s Office within 72 hours.
